The Office Manager is responsible for the overall organization, coordination, and execution of office operations and procedures, ensuring organizational effectiveness, efficiency, and safety. The Office Manager is also responsible for creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.Essential Duties/Responsibilities:
- Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
- Schedule meetings and appointments
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
- Manage contract and price negotiations with office vendors, service providers and office lease
- Manage office G/L coding and invoice processing
- Provide general support to visitors
- Act as HR support for onboarding and offboarding employees
- Assist in the onboarding process for new hires
- Address employee queries regarding office management related issues
- Plan in-house or off-site activities, like parties, celebrations, and conferences
- Manage and maintain office supplies inventory
- Maintain a safe, secure, and pleasant work environment
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems
- Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- Ensure that results are measured against standards, while making necessary changes along the way
- Assign and monitor clerical and administrative functions
- Oversee and maintain office equipment for uninterrupted performance, anticipate needed equipment, place orders, and verify receipt
- Manage the reception area and ensure effective telephone and mail communications both internally and externally
- Provide a welcoming environment for visitors
- Support accounting with month end close activities
- Support sales with customer sample requests
- Support marketing with tradeshow planning and execution
- Support leadership team with travel arrangements
- Other duties as assigned
Functie eisen
Education and Experience:- Associate degree or equivalent experience required
- 3-5 years of proven experience in office management, administrative assistance, or related roles
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Ability to multitask and prioritize tasks effectively
- Problem-solving skills and attention to detail
- Ability to work independently and as part of a team
- Professionalism and a positive attitude
Physical Demands:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
